Hostel management is vital to university administration, ensuring efficient allocation, maintenance, and security within student accommodations. Traditional manual processes for managing hostel operations, such as room allocation, student registration, and complaint handling, are often inefficient and susceptible to errors. This study proposes the development of a web-based hostel management system (HMS) to address these challenges and enhance operational efficiency. The system utilizes modern technologies such as Next.js, Tailwind CSS, MongoDB, Mongoose, and Express.js to streamline essential hostel functions, including room assignments, student registrations, maintenance requests, and communication between administrators and students. The system aims to boost student satisfaction, alleviate administrative burdens, and ensure transparent hostel operations by shifting from traditional manual methods to an integrated web-based platform. Additionally, the study acknowledges the necessity for ongoing enhancements to adapt to emerging technological advancements in hostel management systems. Results from the implementation indicate significant improvements in hostel management efficiency. The system reduced room allocation time by 82.22%, complaint resolution time by 83.33%, and room check duration by 75%. Furthermore, user feedback rated system performance at 93.05%, simplicity at 84.7%, and overall user perception at 75.5%. These findings demonstrate that the proposed HMS successfully enhances operational efficiency, security, and communication within student accommodations.
